VOLUNTEERING FOR THE WORLD CHORAL FESTIVAL

Hundreds of dedicated volunteers have offered their support to the World Choral Festival ever since its creation in 2005. These individuals became involved for various reasons: to add variety to their daily routine or to meet new people, but mostly to give a helping hand in an area which they are passionate about. Each year, these volunteers have given freely of their time and their energy.

Again this year, the World Choral Festival will need your assistance to help make this event a success for public and choirs alike.  Your knowledge and skills will once more prove crucial to our organisation.

Would you like to become an integral part of a major project? Are you passionate, dynamic, cheerful, adaptable, independent? Do you enjoy working with others? The World Choral Festival is currently looking for people interested in becoming involved on a voluntary basis. Join our team and help make the festival’s next edition a resounding success!

YOUR INVOLVEMENT

Volunteers are needed not only during the festival itself, but throughout the year. Your assistance is needed in soliciting sponsors (in person or by telephone), database processing, promotion and publicity during various events, etc. A helping hand is always welcome!

DURING THE LOTO-QUÉBEC WORLD CHORAL FESTIVAL

1. CHOIR GUIDE COMMITTEE (INDOOR AND OUTDOOR VENUES)

Accompanying guest choirs is essential in making their World Choral Festival experience an enjoyable and unforgettable one.

  • Be the “go-to” person for choirs;
  • Ensure the comfort and needs of choristers;
  • Accompany and guide choirs;
  • Ensure that choristers feel well-supported and safe.

2. OFFER YOUR COUCH COMMITTEE

Offering your couch means offering your home as lodging for one or more choristers from around the world.

  • Greet the chorister at his/her arrival;
  • Provide the chorister with a place to sleep during his/her stay;
  • Provide some meals;
  • Provide basic services (bed linens, washroom, towels, etc.) and a clean, welcoming and safe environment;
  • Provide basic transportation for choristers (to and from venues, concerts).

3. FESTIVAL BOUTIQUE COMMITTEE (INDOOR AND OUTDOOR SITES)

Festival-related products are sold at various on-site kiosks.

  • Manage the kiosk according to established procedure;
  • Sell promotional merchandise for the festival and occasionally for guest artists;
  • Do the inventory;
  • Provide event schedule information to festival-goers.

4. VENUE COMMITTEE (CONCERT HALLS, CHURCHES & CHAPELS)

Volunteers must be on-site at concert venues to ensure that activities run smoothly.

  • Work closely with technical crews and masters of ceremonies;
  • Manage parking for certain churches;
  • Oversee sales of water and receive goodwill offerings;
  • Greet the public;
  • Hand out the official festival programme;
  • Fill out surveys;
  • Keep venues clean.

5. CHORISTER’S VILLAGE AND WELCOMING COMMITTEE

This committee comprises several sub-committees directly involved with festival participants and patrons:

  • Prepare meal area;
  • Serve meals;
  • Inform guests about the menu;
  • Keep meal area clean.
  • Greeting the public at outdoor venues
  • Greet festival patrons;
  • Communicate information to patrons.
  • Security and parking at outdoor venues
  • Ensure public safety;
  • Manage parking. 

6. EVENTS HOSTESS COMMITTEE

The goal of this committee is to ensure a high level of satisfaction among Choral Festival guests.

  • Greet guests;
  • Accompany guests and ensuring their comfort;
  • If needed, assist with food and drink service during official functions.

VOLUNTEER RESPONSIBILITIES

  • Act at all times as an ambassador for the World Choral Festival. Weigh your words and actions carefully. Never criticize the organisation in public; keep in mind that you are viewed as a member of the Choral Festival staff;
  • All decisions which might adversely affect the festival’s operations must be approved by a member of the organisation beforehand;
    • Be efficient and honest;
    • Be open and truthful with organisers regarding your goals and motivations;
    • Accept the supervision and direction of the person in charge of your sector;
    • Inform your supervisor of any dissatisfaction regarding your assigned tasks, and suggest improvements or modifications if needed;
    • Think twice about all actions which might run counter to our new policy of sustainable development;
    • Notify your supervisor promptly in case of absence.

RESPONSIBILITIES OF STAFF MEMBERS

  • Whenever possible, assign tasks in keeping with the volunteer’s experience and personal preferences;

  • Provide as much information as possible so that the volunteer may perform his/her duties  with maximum efficiency;
    • Treat the volunteer as a full member of the organisation;
    • Offer support and guidance;
    • Listen to volunteer’s ideas, concerns, and suggestions;
    • Clearly express your gratitude.

RESERVED PARKING

  • In order to encourage carpooling, volunteers will have access to a parking area near the chorister’s village. If you wish to use this parking area, simply follow organizer’s instructions.

  • Share your knowledge and skills with the World Choral Festival team;
  • Make new friends from around the world;
  • Help make the Festival a resounding success.
